Content365 Authoring data handling, AI usage, and compliance

Zensai is committed to transparency and compliance in all our products, including Content365 Authoring. In this article, you'll find answers to frequently asked questions regarding data storage, subcontractors, data flows, and AI usage within Content365 Authoring.

 

Where is Content365 Authoring data stored?

For all customers that had Content365 Authoring activated before March 16, 2026, content is stored on the Coassemble server in Oregon, US.

For customers that had Content365 Authoring activated after March 16, 2026, content is stored:

  • On the Coassemble server located in Belgium (EU) for customers that have Learn365 installed in the North Europe, Germany West Central, Switzerland North or UK South regions.
  • On the Coassemble server located in Oregon, US for Learn365 tenants installed in all other regions.

 

Which subcontractors are involved?

Zensai has partnered with Coassemble for Content365 Authoring capabilities.

Coassemble isn't listed as a subprocessor in Zensai’s Data Processing Agreement (DPA) because no personal data is processed during co-authoring activities.

Data flows between Learn365 and Content365 Authoring

When Content365 Authoring is activated, a connector between Learn365 and Content365 Authoring is established:

  • From Learn365 to Content365 Authoring. Customer-provided input for content creation.
  • From Content365 Authoring to Learn365. Generated content packages (SCORM).

It's important to note that no personal data is exchanged between Learn365 and Content365 Authoring.

 

Use of external AI models

Content365 Authoring uses AI models for content generation. Read on for more information.

 

Which AI models are used?

Coassemble (and therefore Content365 Authoring) uses Google AI services (Gemini Flash and Imagen) for all AI and image creation processes.

 

Which data is sent to the model?

Only content-related data (for example, text, files, images, and so on) provided by the customer for course creation is sent to AI models.

No personal data is sent to AI models.

 

Does anything leave the EU?

Yes. For all customers that had Content365 Authoring activated before March 16, 2026, data used for content creation is processed in the United States.

For customers that had Content365 Authoring activated after March 16, 2026, content is processed:

  • In the European Union for customers that have Learn365 installed in the North Europe, Germany West Central, Switzerland North or UK South regions.
  • In the United States for Learn365 tenants installed in all other available regions.

 

Is the model trained or only inferred?

AI models are used in inference only mode.

No customer data is stored or used for training.

 

What happens to my data if I disconnect from Content365 Authoring?

Disconnecting from the service disables Content365 Authoring features at your organization.

We strongly advise you remain connected to Content365 Authoring for as long as you want learners to be able to take courses created in Content365 Authoring.

Before you disconnect from Content365 Authoring, we advise you convert any dynamic SCORMs generated by Content365 Authoring to standalone SCORMs so you can use them offline. Once you disconnect, the option to convert to standalone SCORM won't be available.

If you disconnect Content365 Authoring, information about learners' course progress history and enrollments is retained in Learn365.

If you choose to disconnect, you have a 30 day grace period. During this time:

  • You can reconnect to Content365 Authoring to keep access to your previously created content.
  • Learners can continue to take Content365 Authoring courses.

At the end of the 30 day grace period, if you don't reconnect:

  • You'll permanently lose access to all your previously created content.
  • Learners will be able to take courses but they won't be able to play the dynamic SCORMs created in Content365 Authoring.

If you reconnect to Content365 Authoring after the 30 day grace period, you'll have access to Content365 Authoring features but you won't have any of your previously created content.
