In this article, we explain how data is processed, retained, and protected and whether data is used to train models.
Understanding how data is used
At Zensai, we're committed to providing transparency about how data is processed within AI-enabled services.
Our AI capabilities are designed to help users generate content, discover information, gain insights, and improve productivity. To deliver these capabilities, certain data may be processed when a user interacts with AI-enabled features. We apply safeguards designed to protect customer data, support privacy, and maintain customer trust.
How AI processes data
When a user interacts with an AI-enabled feature, relevant information may be securely processed to generate the requested output.
Depending on the feature being used, this may include:
- User prompts or instructions
- Content selected by the user
- Learning content, documents, or other authorized information
- Context necessary to generate a relevant response.
Data is processed solely for the purpose of providing the requested AI functionality.
Customer data isn't used to train AI models
Protecting customer data is a core principle of our AI program.
Customer data, prompts, source content, and AI-generated outputs processed through Zensai AI-enabled services aren't used by Zensai to train AI models. In addition, Microsoft Azure OpenAI Service doesn't use customer content submitted through the service to train or improve foundation models.
Our commitment:
- Customer content isn't used to train Zensai AI models.
- Customer prompts aren't used to train foundation models.
- AI-generated outputs aren't used to improve public AI services.
- Customers retain ownership and control of their data.
Data retention
AI processing is designed to support the delivery of AI-assisted services while minimizing unnecessary retention of data.
Retention periods depend on the AI service, operational requirements, applicable contractual commitments, and underlying cloud infrastructure. We apply data management controls designed to support security, privacy, and compliance obligations.
Data storage and processing locations
Data relating to AI-enabled services is hosted within Microsoft's enterprise cloud infrastructure.
The location where data is processed depends on the customer's selected deployment region. This helps support regional data residency requirements and enables customers to align AI services with their broader cloud deployment strategy.
Protecting data during AI processing
AI-enabled services operate within the same security and privacy framework that governs our products and services.
Safeguards include:
- Encryption in transit and at rest
- Identity and access controls
- Security monitoring and logging
- Secure cloud infrastructure
- Privacy and security by design
- Governance and risk management processes.
These safeguards help protect the confidentiality, integrity, and availability of customer data.
Customer control
Customers remain in control of how AI-enabled capabilities are used within their environment.
Depending on the product and feature, administrators may choose whether AI functionality is enabled and control access to AI-powered capabilities. Users remain responsible for reviewing and validating AI-generated outputs before taking action based on them.
Transparency and trust
We believe customers should understand how AI technologies use and process data.
We're committed to providing clear information about our AI services, the technologies we use, the safeguards we apply, and the controls available to customers. Transparency and responsible data handling are fundamental to maintaining trust in AI-enabled services.
