AI, anonymity, and profiling safeguards

Overview

Within Perform & Engage 365, AI-powered features assist users while helping organizations protect employee privacy and confidentiality.

To support this approach, Zensai applies anonymity controls and other safeguards that help prevent the identification of individuals in analytics and reporting.

Our approach to AI and profiling

Zensai's AI capabilities are designed to support human decision-making, not replace it.

Key principles include:

  • AI features don't perform automated decision-making about individuals.
  • AI-generated insights are based on aggregated data rather than individual employee assessments or manager-level sentiment analysis.
  • Users remain responsible for reviewing and acting on AI-generated content.
  • Any actions that modify content or records require explicit user confirmation.
  • AI prompt processing is transient and isn't used to build persistent employee profiles.
  • Audit logging records operational metadata while avoiding storage of prompt and response content.
  • AI features process aggregated data rather than person-level data.

These controls help reduce the risk of AI being used to evaluate, rank, score, or make decisions about individual employees.

How anonymity thresholds protect user privacy

Perform & Engage 365 uses a minimum number of users to show anonymous data setting that determines when anonymous reporting can be displayed.

If no value is configured, the default threshold is five users.

When reports, survey results, or analytics are generated, Perform & Engage 365 checks whether the number of respondents remaining after applied filters meets the configured threshold.

If the number of responses falls below the threshold:

  • Data isn't displayed.
  • The reporting view indicates that anonymity requirements haven't been met.
  • Users can't access the underlying aggregated results.

This helps prevent users from deriving information about individuals from small datasets.

These anonymity protections also apply to AI-powered reporting and insight features that use survey and analytics data.

Where anonymity thresholds are applied

Anonymity protections are applied across multiple reporting and analytics experiences, including:

  • Survey reporting
  • Sentiment analytics
  • Engagement score reporting
  • Pulse question analytics
  • Survey exports
  • Survey planning views that are configured to apply anonymity controls
  • External survey reporting APIs.

How Zensai helps reduce profiling risks

Privacy regulations generally define profiling as the automated processing of personal data to evaluate, analyze, or predict aspects of an individual.

Examples could include:

  • Assigning sentiment scores to specific employees.
  • Ranking individuals based on engagement or performance indicators.
  • Predicting future behavior or outcomes for a named individual.
  • Creating persistent AI-generated profiles about employees.
  • Using AI-generated output to drive automated decisions affecting a person.

Zensai's AI capabilities help organizations identify trends and insights while supporting privacy and reducing the risk of individual identification or profiling.

Important considerations

Anonymity thresholds provide an important safeguard, but they aren't a complete protection against every possible identification scenario.

Organizations should also consider:

  • The impact of combining multiple filters that could reduce result sets to very small groups.
  • Repeated querying or comparison of reports that could indirectly reveal information about specific individuals.
  • Appropriate governance and access controls around sensitive reporting.

Zensai encourages customers to implement privacy practices and governance policies that align with their regulatory and organizational requirements.
